This Notice explains how Vance handles personal information when a company creates and uses a Vance workspace. Payroll information is confidential and is processed to provide, secure, support, and improve the subscribed services.
Information we process
Vance processes account and contact details, company records, employee profiles, government identifiers, compensation, attendance, payroll results, statutory records, support communications, audit events, and technical usage information supplied through the service.
Purposes
Information is used to authenticate users, provision company access, calculate and review payroll, generate reports and payslips, support statutory workflows, enforce plan limits, provide support, maintain audit history, prevent abuse, and operate and secure the service.
Company control and access
The subscribing company controls the business and employee information entered into its workspace. Access is limited through company membership, assigned roles, product entitlement, and authentication controls. Company administrators are responsible for granting appropriate access.
Service providers and disclosures
Vance may use infrastructure, authentication, hosting, email, monitoring, and support providers to operate the service. Information may also be disclosed when required by law, to protect users or the service, or as directed by an authorized company representative.
Retention and security
Vance applies technical and organizational safeguards appropriate to the sensitivity of payroll data. Records are retained for service delivery, auditability, legal obligations, dispute handling, and the period agreed with the customer. No system can guarantee absolute security.
Requests and questions
Authorized users may request correction of account information through the application or their company administrator. Privacy, access, correction, retention, or deletion questions should be directed to Vance support and will be evaluated against company instructions and applicable legal obligations.
